[Demo](https://learn.projectmanager.com/acumatica#intro) | [Connect to Acumatica](https://learn.projectmanager.com/acumatica#connect) | [Acumatica Attributes](https://learn.projectmanager.com/acumatica#attributes) | [Sync Projects](https://learn.projectmanager.com/acumatica#projects) | [Link Employees](https://learn.projectmanager.com/acumatica#resources) With our Acumatica Project Accounting integration you can: - **Reduce duplicate project setup and maintenance** by creating projects in either ProjectManager or Acumatica and keeping key information synchronized. - **Keep project and finance teams aligned** by sharing task lists, progress, dates and project ownership between both systems. - **Streamline time tracking and financial processing** by linking resources to employees and automatically sending timesheets as Employee Time Activities. - **Give project managers more accurate cost visibility** by bringing planned, actual and committed costs directly from Acumatica into ProjectManager along with related cost codes. ProjectManager is primarily the source for operational project information, while Acumatica remains the source for financial information. See it in action (click the ⛶ icon in the top right to enlarge): You only need to configure the integration once. After connecting Acumatica, make sure the required attributes are available in Acumatica, choose your synchronization options, and link the projects and resources you want to use. There are five steps. ### Connect to Acumatica #### Prerequisites - Acumatica Project Accounting or MYOB Acumatica, 25R1 or later - A ProjectManager Enterprise account with the Acumatica add-on - You must be a [Global Admin](https://learn.projectmanager.com/the-global-admin-role) in ProjectManager, or have these [security settings](https://learn.projectmanager.com/user-roles): - Edit all projects & timesheets - See hourly rates, costs & budgets - Manage project portfolio - Your Acumatica user account must: - Have access to **Connected Applications** (SM303010) with permission to create and edit connected applications. - Be linked to an **Employee** record in Acumatica. You can confirm this via the **Linked Entity** field in **Users** (SM201010). - Have a user type that permits OAuth access, normally **Unrestricted**. - Be linked to an employee who can act as an active delegate for **Time Activities and Employee Time Cards**. This employee will automatically become the delegate for all linked employees. #### Get Connected The first step is to create a **Connected Application** in Acumatica. This allows ProjectManager to authenticate securely with your Acumatica instance. 1. In ProjectManager, open the **Acumatica integration** and click **Connect** to start the connection setup. 2. Copy the **Redirect URL** shown in ProjectManager. 3. Switch to Acumatica, open **Connected Applications** (SM303010) and create a new application for ProjectManager. Add the Redirect URL copied from ProjectManager to the Connected Application. 5. Copy the **Client ID** and **Client Secret** generated by Acumatica and paste them into the ProjectManager configuration screen, along with the Tenant URL and API version (we will automatically show valid API versions in the dropdown). 6. Click **Test Connection** to ensure everything's correct. 7. Click **Continue** and you'll be redirected to Acumatica where you need to sign in and authorize ProjectManager to access your Acumatica tenant. Our integration creates several custom attributes in Acumatica that are used to display ProjectManager information such as status, WBS, links and more. Before synchronizing projects, these attributes should be added to the appropriate Acumatica entities. In Acumatica navigate to **Project Attributes** (PM202000), add the ProjectManager project attributes to **Projects**, and the ProjectManager task attributes to **Project Tasks**. Make sure **Active** is checked beside each one. **![Setup 9 - ACU Project Attributes](https://learn.projectmanager.com/hs-fs/hubfs/Setup%209%20-%20ACU%20Project%20Attributes.png?width=670&height=277&name=Setup%209%20-%20ACU%20Project%20Attributes.png)** Add the following attributes: | Type | ID | Description | | --- | --- | --- | | Project | PMBUDGET | PM Budget | | Project | PMPROJID | PM Project ID | | Project | PMPROJSTAT | PM Project Status | | Project | PMPROJURL | PM Project URL | | Project Task | PMID | PM ID | | Project Task | PMSTATUS | PM Status | | Project Task | PMURL | PM URL | | Project Task | PMWBS | PM WBS | ### Sync your projects Now that the two systems are connected you need to link some projects. We will keep the core data of linked projects in sync over time, including: - **Project** start and end dates, budget, status and manager - **Project Task** list, start and end dates, progress and status In Acumatica, Project Tasks must be **Active** before Progress (%) or Time Entries can be recorded. If you would like all Project Tasks to be created with the Active status simply click the "Activate tasks on creation" option on the integration configuration page, leaving this un-checked will create Project Tasks with the In-Planning status. **Note** - Linking your projects is a pivotal step and task list syncing, timesheet exports and cost imports will only apply to linked projects. If you kick-off projects in Acumatica you can **import** them in bulk, if you start projects in ProjectManager you can **send** them to Acumatica easily. #### Import projects from Acumatica To bring existing Acumatica projects into ProjectManager: 1. Navigate to the [Portfolio Projects](https://learn.projectmanager.com/portfolio-projects) page in ProjectManager 2. Click *Import Acumatica Projects* 3. Select one or more projects 4. Click *Include Time Activities* if you also want to import related time activities 5. Click *Import Projects* Time entries can only be imported if there is a matching employee in both systems. A new ProjectManager project is created for each selected Acumatica project, project tasks are also imported, and any associated timesheets (if that option was selected). Depending on your Acumatica configuration, you may be asked to: - Enter an **Acumatica Project ID** (if auto-numbering is disabled) - Select the **Acumatica Customer** for the new project ProjectManager creates the Acumatica project and matching project tasks. ![Projects 4 - Export to ACU](https://learn.projectmanager.com/hs-fs/hubfs/Projects%204%20-%20Export%20to%20ACU.png?width=670&height=375&name=Projects%204%20-%20Export%20to%20ACU.png) #### Keeping track of linked projects You can see which projects are linked and create new links via the [Portfolio Projects](https://learn.projectmanager.com/portfolio-projects) page. Linked projects will show the Acumatica Project ID in the Acumatica Project column. You can click the icon beside the Project ID to open the matching project in Acumatica. ![Projects 3 - Imported Projects](https://learn.projectmanager.com/hs-fs/hubfs/Projects%203%20-%20Imported%20Projects.png?width=670&height=221&name=Projects%203%20-%20Imported%20Projects.png) ### Link resources to Acumatica employees ProjectManager **resources** need to be linked to Acumatica **employees** for employee-specific information such as timesheets and Project Manager assignments to synchronize. ProjectManager **automatically** attempts to match employees on each job run but we recommend you manually link them for maximum accuracy: 1. In ProjectManager navigate to the [Manage Resources](https://learn.projectmanager.com/users-teams-training-walkthrough) page. 2. Find the ProjectManager resource you wish to link. 3. Look for the **Acumatica Employee** column (you may need to enable it). 4. Search by employee name, ID or email. 5. Select the corresponding Acumatica employee. Linking an employee automatically appoints the employee associated with the integration user as their delegate for Time Activities and Employee Time Cards. An Acumatica employee can only be linked to one ProjectManager resource.
