Acumatica Integration: Getting Started
Give project and finance teams accurate data and better visibility without double-handling by automatically sending timesheets to Acumatica Project Accounting and bringing actual costs back to ProjectManager.

With our Acumatica Project Accounting integration you can:
- Reduce duplicate project setup and maintenance by creating projects in either ProjectManager or Acumatica and keeping key information synchronized.
- Keep project and finance teams aligned by sharing task lists, progress, dates and project ownership between both systems.
- Streamline time tracking and financial processing by linking resources to employees and automatically sending timesheets as Employee Time Activities.
- Give project managers more accurate cost visibility by bringing actual and committed costs directly from Acumatica into ProjectManager, with Acumatica cost codes alongside the relevant tasks.ProjectManager is primarily the source for operational project information, while Acumatica remains the source for financial information.
You only need to configure the integration once. After connecting Acumatica, make sure the required attributes are available in Acumatica, choose your synchronization options, and link the projects and resources you want to use. There are five steps.
Connect to Acumatica
first step is to create a Connected Application in Acumatica. This allows ProjectManager to authenticate securely with your Acumatica instance.
- In ProjectManager, open the Acumatica integration and click Connect to start the connection setup.
- Copy the Redirect URL shown in ProjectManager.
- Switch to Acumatica, open Connected Applications (Screen SM303010) and create a new application for ProjectManager.
- Add the Redirect URL copied from ProjectManager to the Connected Application.
- Copy the Client ID and Client Secret generated by Acumatica and paste them into the ProjectManager configuration screen, along with the Tenant URL and API version (we will automatically show valid API versions in the dropdown).
- Click Test Connection to ensure everything's correct.
- Click Continue and you'll be redirected to Acumatica where you need to sign in and authorize ProjectManager to access your Acumatica tenant.

Activate ProjectManager attributes in Acumatica
This is an optional but recommended step.
Our integration creates several custom attributes in Acumatica that are used to display ProjectManager information such as status, WBS, links and more. Before synchronizing projects, these attributes should be added to the appropriate Acumatica entities.
In Acumatica navigate to Project Attributes (Screen PM202000), add the ProjectManager project attributes to Projects, and the ProjectManager task attributes to Project Tasks. Make sure Active is checked beside each one.

Link your projects
Now that the two systems are connected you need to link some projects. We will keep the core data of linked projects in sync over time, including:

Project start and end dates, budget, status and manager

Task list, start and end dates, progress and status
Other features like sending timesheets and receiving actual costs only apply to linked projects - so this choosing which projects to link is a pivotal step. If you kick-off projects in Acumatica you can import them in bulk, if you start projects in ProjectManager you can send them to Acumatica easily.
Import projects from Acumatica
To bring existing Acumatica projects into ProjectManager:
- Navigate to the Portfolio Projects page in ProjectManager
- Click Import Acumatica Projects
- Select one or more projects
- Click Import Projects
ProjectManager creates a new project for each selected Acumatica project and brings across its project tasks. The two projects are linked and will continue to synchronize supported information.

Create an Acumatica project from ProjectManager
If you prefer to kickoff projects in ProjectManager, navigate to the Portfolio Projects list, find a project that is not yet linked to Acumatica and choose the option to create a matching Acumatica project.
Depending on your Acumatica configuration, you may be asked to:
- Enter an Acumatica Project ID (if auto-numbering is disabled)
- Select the Acumatica Customer for the new project
ProjectManager creates the Acumatica project and matching project tasks.

Keeping track of linked projects
You can see which projects are linked and create new links via the Portfolio Projects page. Linked projects will show the Acumatica Project ID in the Acumatica Project column. You can click the icon beside the Project ID to open the matching project in Acumatica.

Link resources to Acumatica employees
ProjectManager resources need to be linked to Acumatica employees for employee-specific information such as timesheets and Project Manager assignments to synchronize. ProjectManager automatically attempts to match employees on each job run, but if needed you can manually link them:
- In ProjectManager navigate to the Manage Resources page.
- Find the ProjectManager resource you wish to link.
- Look for the Acumatica Employee column (you may need to enable it).
- Search by employee name, ID or email.
- Select the corresponding Acumatica employee.
An Acumatica employee cannot be linked to more than one ProjectManager resource. Choose No Linked Employee to prevent their data being sent to Acumatica.
