Inventory Management: How to Track Inventory in ProjectManager
Use custom columns, assign tasks to users, collaborate on the task card and create recurring tasks to track inventory throughout your project.
While there are multiple ways to track inventory, we recommend setting up a new project dedicated to inventory tracking. Creating a separate project keeps the data clean and improves organization. Here are a couple of examples.
Use Custom Columns to Get the Data You Need
Once you've created a new project, use any of our pre-built columns on views like the Gantt and sheet, such as planned vs. actual costs. Depending on your needs, you can also add custom column names like "current count of inventory" or "order threshold."

Use the "create custom column" feature, where you can name the column and determine how to categorize the data.

Once the columns are to your liking, you can add specific parent and subtasks. For example, you can categorize parts, break down the time of year they're needed or add specific action items.

You can also add color coding to simplify organization.

Assign Items to Users & Collaborate
The kanban board is a great view to use for collaborating on inventory. Create custom board columns to make it easy to understand what action items are the most important.

Open the task card and add an assignee to each task. You can also collaborate on inventory in real time using comments, progress updates, due dates, attachments, tags and task recurrence.

Create Recurring Tasks
Make a recurring task to order more inventory based on specific timeframes rather than stock levels. Set recurrence on a daily, weekly, monthly or annual basis. You may need to order fiberglass every three months, for example.

Add Materials as "None" Roles
If needed, you can add materials as resources if you need to assign them to a task. This way, your team knows what resources are needed to execute tasks. You can do so using a "none" role.

Add Risks
Toggle to the risk view to add inventory-specific risks to the RAID log. Add an assignee, due date, mitigation plan, description, tags and a resolution. The risk matrix will automatically update based on the impact and likelihood.

Import External Data From Excel
If you're already using an Excel spreadsheet to track inventory, simply import it into ProjectManager. You can add this data to an existing project or create a new project with it.
